Description

The Executive Assistant & Board Support provides high-level administrative and logistical support to the President & CEO and the Board of Directors. This position is responsible for managing schedules, preparing materials, coordinating meetings, handling confidential information, and ensuring smooth communication across organizational leadership. The ideal candidate is detail-oriented, highly organized, and adept at anticipating needs and managing multiple priorities in a nonprofit environment.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION

An individual must be able to perform each essential duty listed below at a satisfactory level with or without reasonable accommodation:

Executive Support

  • Manage the President & CEO's calendar, including scheduling appointments, meetings, and travel
  • Draft, proofread, and format correspondence, reports, presentations, and other documents (Can we include alignment with UWLC brand standards?)
  • Coordinate internal and external meetings, including preparing agendas, materials, and meeting minutes
  • Assist with special projects and initiatives as directed by the President & CEO
  • Serve as a liaison between the President & CEO and internal/external stakeholders, ensuring timely and professional communication

Board Support

  • Serve as the primary administrative point of contact for the Board of Directors
  • Schedule and coordinate all board and committee meetings; prepare and distribute agendas, meeting materials, and minutes
  • Track and ensure compliance with board policies, evaluations, calendars, and term limits
  • Maintain accurate and confidential board records, including rosters, bylaws, and governance documents
  • Support board recruitment, onboarding, and training processes in collaboration with the President & CEO

Administrative Operations

  • Ground work activities in anti-racism, equity, intersectionality, and other areas important to social justice
  • Manage confidential and sensitive information with discretion and professionalism
  • Support CRM data management, including data entry, reporting, and upkeep of board and executive contacts
  • Provide backup administrative support to other departments or executive team members as needed; provide additional or backup coverage for the front desk
  • Support organizational communications, project tracking, and file management systems
  • Support evaluation, membership, and administrative requirements for United Way Worldwide
  • Support and attend tabling opportunities and other external events such as the Community Breakfast, Days of Caring, and Bookfest.
  • Perform additional duties as assigned

JOB REQUIREMENTS

Minimum requirements include:

  • Minimum of 3 years of experience providing executive-level administrative support, experience in a nonprofit setting a plus
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Expert in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, Teams) and proficient with Zoom.
  • Ability to manage multiple tasks with competing deadlines
  • Discretion and sound judgment in handling confidential information
  • Commitment to the mission and values of the United Way of Lane County.
  • Preference will be given to candidates bilingual in Spanish and English

SALARY STATEMENT

The budgeted lifespan salary range for this position is currently $52,667-$73,733 annually. Proffered salaries are determined by several factors including applicant's knowledge, skills, experience, position, equity, and market. We offer a bilingual pay differential for eligible employees.
